Donor Recognition Optimization Project

In the Donor Recognition Optimization project, we have improved the first three steps of the donation process. These are: donor recognition, consultation, and the donation conversation.

The first part of the donation process is currently supported by various tools and applications.

What is the goal?

With the new applications, the donation process is clearer, more efficient, and more reliable. All data regarding donor recognition, consultation, and the donation conversation are centrally available. Everyone can quickly find the right information needed for their role.

This project is part of the New Donor File program, in which we are optimizing all steps in the organ and tissue donation process.

New application

We developed a new application for donation coordinators (DCs), organ donation coordinators (ODCs), and the Organ Center (OC).

Key benefits:

  • You only need to log in once. All data is in one central place.
  • More efficient and consistent workflow.
  • Data is registered at the source as much as possible. This results in less noise and a lower chance of errors.
  • Professionals have direct access to information relevant to their role.
  • The new application supports your expertise as a donation expert.

What does the new application consist of?

The application has 3 components.

Component 1. Donor consultation

In this component, we are optimizing the consultation process. This makes screening more efficient and saves time for consulting physicians and OC staff.

Component 2. Insight and data entry for organ donation coordinator (ODC)

We are building a component for the organ donation coordinator (ODC) where all necessary information from the consultation is quickly available.

Component 3. Support for work processes and recording the donation conversation

Donation coordinators (DCs) and organ donation coordinators (ODCs) gain insight into the consultation file in this component. They can also record the outcome of the donation conversation.

This is an application that healthcare professionals will truly benefit from. We didn't just replace an old application one-to-one; we looked at the entire process and spoke with users.

Integrating new donor identification workflow

In 2025, the consultation and donor identification procedure was adjusted. Suitability for organ and tissue donation is now largely assessed by donation experts. This new workflow has been integrated into the application.

  • Tissue donation: The Organ Center (OC) has a larger role in assessing the medical suitability of potential tissue donors. Referring physicians now need to check fewer contraindications prior to the consultation.
  • Organ donation: After the consultation, the ODC contacts the acute care physician to assess medical suitability (workflow according to the (VobO pilot)

Follow-up project

In 2025, a new project was launched that builds on the Donor Identification Optimization project. This involves optimizing the follow-up steps for organ donation: screening, organ donor notification, and follow-up. This project is also part of the New Donor File program.
